From passive handover to proactive control

Previously, VDL Systems did not directly manage the arrangement of inbound transport. The supplier would notify a fixed carrier via a form, and that carrier would appear the next day to deliver goods. Transport costs were embedded in the supplier’s invoice, and VDL System had little visibility or control over the process. 

This worked, until it didn’t. If something went wrong, such as a missed pickup, VDL Systems would often discover the issue only days later, when the supplier followed up. In some cases, a full week could pass before VDL Systems realized that goods were still sitting in the supplier’s warehouse. 

With CtrlChain, that changed. They now manage transport bookings directly, avoiding reliance on third parties. This shift gave them better control over timing and reliability.

Clear arrivals, better coordination

One of the most appreciated aspects of the systems is knowing exactly when a truck will arrive. This visibility allows the warehouse team to prepare efficiently, planning breaks or loading activities around a known schedule. In contrast, traditional shipments arrive unpredictably, disrupting internal workflows. 

VDL Systems also values the fast communication loop. If a supplier asks for an ETA, they can easily check it in the systems themselves. And if they need further assistance, they can contact CtrlChain and receive a quick response, enabling them to keep everyone informed.

Reliable Partnership

CtrlChain was introduced through a former colleague, but even after that contact left the company, they continued using the systems. The reason: it works. He knows that if a truck is booked, it will show up as planned. This consistency contrasts with previous experiences where transport depended on supplier coordination and occasionally failed due to missed emails or follow-ups.
