Choosing an FTL transport provider in Europe should not come down to the lowest rate or the largest logo on a carrier list. The right provider must be able to prove that it has suitable capacity on your lanes, the correct trailer for your freight, control over subcontracted transport, live shipment visibility and a workable response when the original plan fails.

The best FTL transport provider for your business is the one that can meet your specific requirements consistently. A food manufacturer may prioritise temperature integrity and trailer hygiene. An electronics business may care more about secure parking, route controls and door alerts. A shipper with recurring flows may need guaranteed weekly capacity, while a business with irregular demand may value short-notice availability.

1. What fleet does the provider own or directly control?

Fleet ownership matters because it gives a transport provider direct access to vehicles and trailers. It can reduce dependence on the spot market and give the operator more control over maintenance, equipment standards and driver procedures.

However, an owned fleet is not automatically better in every situation. Even a large carrier may use subcontractors outside its core lanes or during busy periods. A well-managed partner network can add geographic reach and flexibility. The important question is not simply, “Do you own trucks?” It is, “Who will carry my freight, and how do you control that operation?”

Ask each provider:

  • How many trucks and trailers do you own?

  • Which equipment is based near my loading points?

  • What percentage of my loads will use owned assets?

  • When partners are used, how are they selected, onboarded and monitored?

  • Will I know the operating carrier before collection?

2. Can the provider guarantee capacity on your lanes?

A provider may have thousands of vehicles across Europe and still lack a suitable truck near your collection point on the day you need it. Capacity must therefore be assessed by lane, equipment type, weekday, season and booking lead time.

For recurring FTL flows, ask for a written capacity commitment. It should state the agreed number of loads per day or week, the required trailer type, the ordering cut-off, the process for volume changes and what happens when forecast volumes exceed the commitment.

For spot transport, ask how long a quote remains valid and whether acceptance confirms an actual vehicle or only starts a search for one.

Useful questions include:

  • How many loads per week can you commit to on this lane?

  • Is that capacity fixed for the contract period?

  • What forecast and booking lead time do you require?

  • Can you cover weekend, holiday or peak-season departures?

3. Does the provider have the right trailer for your freight?

The wrong trailer can cause a failed collection before the journey starts. Confirm the equipment during procurement, not after booking. The provider needs to understand the cargo, pallet count, gross weight, dimensions, loading method, unloading method, security requirements and temperature conditions.

Why choose rear or side loading?

Rear loading is the usual choice for standard palletised freight. It works well when the collection and delivery sites have loading docks and the pallets can be loaded in sequence using a forklift or pallet truck. Box and refrigerated trailers are normally loaded from the rear because their fixed walls protect the cargo and, in the case of a refrigerated trailer, help maintain the controlled environment.

Side loading is useful when a forklift or crane needs direct access to cargo along the length of the trailer. It may be required for long items, machinery, construction materials, unusually shaped freight or sites without a suitable loading dock. A curtainside trailer supports both side and rear loading. The provider still needs to know the loading method in advance because side-loaded cargo may require a specific loading order, weight distribution and securing plan.

Ask both the collection and delivery sites which access they require. A trailer that can be loaded successfully at origin may still be unsuitable if the consignee cannot unload it in the same way.

When can an FTL carry 33 or 66 Euro pallets?

A standard 13.6-metre semi-trailer has 33 Euro-pallet floor positions, based on pallets measuring 1,200 × 800 mm. This means 33 pallets when they are carried in a single layer.

The same floor space can accommodate up to 66 Euro pallets when two pallets are stacked in each position. This is only possible when:

  • The goods and pallets are approved for stacking

  • Each lower pallet can safely support the pallet above it without crushing or product damage

  • The combined pallet heights fit within the trailer's usable internal height

  • The total cargo weight remains within the trailer payload and legal axle-load limits

  • The stack remains stable during braking, cornering and unloading

  • The loading and delivery sites have equipment that can safely handle the stacked pallets

Preparing 66 pallets therefore requires more than placing one pallet on another. The lower pallets should be strong, level and evenly packed. Both layers should be securely wrapped or strapped, with no unsupported overhang. Weight should be distributed across the trailer, and heavier pallets should not be placed on lighter or fragile goods. The shipper should provide the dimensions, weight, stackability and maximum top-load capacity of every pallet before booking. The provider can then confirm whether double-stacking is safe or whether specialist equipment, such as a double-deck trailer, is required.

If the freight is non-stackable, irregularly shaped, fragile or too tall, the practical limit remains 33 Euro pallets and may be lower. The actual payload also depends on the tractor and trailer configuration, national rules, axle loads and cargo distribution. Send the provider the full load details rather than assuming that “one full truck” is a complete specification.

4. Does the provider have real coverage on your routes?

“Europe-wide” can mean several different things. A provider may have its own depots and planners in a country, use regular partners there, or simply be willing to buy spot capacity when an enquiry arrives.

Ask where the provider has vehicles, regular carrier relationships, local-language support and experience with your exact origin and destination regions. A company that regularly runs Benelux to Germany may not offer the same reliability on Spain to Poland.

Check whether the service covers:

  • Domestic as well as cross-border transport

  • Your specific postal-code regions, not just the countries

  • The required collection and delivery days

  • Return capacity or only one-way availability

  • Local-language coordination with warehouses and receivers

  • Ferry, tunnel, toll and border requirements where relevant

5. What shipment visibility will you receive?

Live tracking should give an operations team enough information to act. A map position alone is not sufficient if no one is monitoring late arrivals, long stops or route deviations.

6. Who communicates when something changes?

Good transport communication is not the number of status emails sent during a normal journey. It is the speed and quality of the response when a truck is late, a loading slot changes, a consignee rejects a pallet, or a driver cannot continue.

Agree on the operating process before the first shipment:

  • Who is the day-to-day contact?

  • Is operational support available outside office hours when your loads are moving?

  • Which events trigger an immediate alert?

  • How quickly will the provider report a likely delay?

  • Who contacts the loading and delivery sites?

  • What information will be included in an incident update?

  • How and when will the root cause be reported?

7. Can the provider prove its performance?

“Reliable” is not a measurable service level. Before appointing an FTL provider, agree exactly how performance will be calculated and reported.

Relevant KPIs may include:

  • Loading and unloading dwell time

  • Cancellation or no-show rate

  • Temperature deviations

  • Damage and claims frequency

Definitions matter.  A 15-minute delivery window and an end-of-day delivery target should not both be reported as “on time”. Decide how customer-caused delays, changed appointments, and force majeure events will be classified.

8. Which licences, documents and compliance controls apply?

For international road freight, the legal and documentary requirements depend on the countries, cargo and operating model. Within the EU, road haulage operators are subject to rules on access to the occupation and the international road haulage market. International carriage is also commonly governed by the CMR Convention.

Ask the provider to confirm, as applicable:

  • The legal entity contracting and invoicing you

  • The operating carrier for each shipment

  • Valid operator and Community licences

9. What insurance and carrier liability cover applies?

Never accept “fully insured” as a complete answer. Carrier liability and cargo insurance are not the same thing. Liability under CMR is subject to conditions, exclusions and limits, and it may be lower than the full commercial value of the cargo.

Ask for:

  • A current insurance certificate

  • The insured legal entity

  • Territorial scope

  • Maximum cover per event and per vehicle

  • Limits for theft, high-value goods and temperature variation

  • Excluded products or circumstances

  • Any parking, route, alarm or driver requirements imposed by the insurer

  • The claims notification process and required evidence

  • Confirmation of cover when a subcontractor operates the load

Compare the available cover with the maximum value carried on one vehicle. If there is a gap, discuss separate cargo insurance with your insurance adviser.

10. How will the provider protect high-value or theft-sensitive cargo?

Security needs to be designed into the transport plan. A locked trailer is only one control. Parking location, route choice, unplanned stops, door openings, driver instructions and the speed of escalation all affect risk.

Ask whether the provider can offer:

  • Box trailers for enclosed transport

  • Pre-approved routes and parking locations

  • Geofencing and route-deviation alerts

  • Door-event monitoring where required

  • Security seals and seal-number records

  • Driver identification and handover controls

These measures protect the load at different stages of the journey. A rigid-sided box trailer conceals the cargo and prevents access through the sides, unlike a curtainside trailer whose curtain can be cut. The rear doors and locking system still need suitable protection, so enclosed transport should form part of a wider security plan rather than serve as the only control.

Route planning reduces exposure before a problem occurs. The provider should account for known risk areas, secure parking availability, mandatory driver breaks, border crossings and the distance that can be covered before the first stop. Geofencing, route-deviation alerts and door monitoring then help detect when a vehicle leaves the approved corridor, enters a prohibited area or is opened somewhere other than an authorised loading or delivery location. These alerts only add protection when a named person receives them and knows how to respond.

Driver identification, handover checks and numbered seals protect the chain of custody. Verifying the driver, tractor, trailer and booking reference reduces the risk of releasing cargo to an unauthorised person or vehicle. Recording the seal number at origin and checking it at every handover can reveal possible interference. A seal provides evidence of access but does not physically prevent theft, so it should complement locks and active monitoring.

The provider also needs a defined response when something unexpected happens. An unscheduled stop may result from traffic, a breakdown, a driving-time requirement or a security incident. The procedure should state how quickly the driver is contacted, how the situation is verified, when the customer is notified and when security services or police are involved. If an incident occurs, GPS history, alerts, door events, seal records, communications and handover details create the timeline needed by the customer, investigators and insurers.

11. Can the provider maintain the required temperature conditions?

Booking a refrigerated trailer is not enough. The provider needs a documented process covering the product, required set point, acceptable tolerance, pre-trip checks, monitoring, alarms and evidence after delivery.

For perishable food transported internationally, check whether the equipment and operation must meet the ATP Agreement and any additional customer or national requirements.

Ask provider:

  • Which temperature range can the equipment maintain?

  • Is the reefer unit checked and the trailer pre-cooled before loading?

  • Who confirms the set point?

  • Where are the temperature sensors located?

  • Are temperatures monitored continuously in transit?

  • Who receives an alarm and what action follows?

  • Are multi-temperature or other specialist trailers available if required?

A reefer trailer is designed primarily to maintain cargo at the agreed temperature. It should not be assumed to reduce warm product to the correct transport temperature during the journey. Product condition at loading remains a critical part of the process.

12. What happens when the original plan fails?

Every European transport operation faces disruption. Vehicles break down, loading runs late, drivers reach legal driving limits, roads close and delivery slots change. Reliability is determined by how quickly the provider detects the problem and whether it has a prepared alternative.

Ask for a clear contingency plan covering:

  • Vehicle breakdown before and after loading

  • Driver unavailability

  • A primary carrier declining the shipment

  • Missed loading or delivery slots

  • Severe congestion, weather or border delays

  • Reefer or telematics failure

  • Cargo-security incidents

  • A replacement vehicle that must meet the same temperature, security and loading requirements
